This Malpractice & Maladministration Policy establishes a zero-tolerance framework against any form of unfair practice, cheating, or administrative negligence that could compromise the quality and fairness of our training and certification processes. 2. Definitions
Malpractice refers to intentional, deliberate acts of misconduct by students or staff, including but not limited to:
- Cheating during examinations
- Impersonation (having someone else take the exam)
- Use of unauthorized materials or devices during exams
- Falsification of documents, certificates, or records
- Leaking or accessing examination papers without authorization
- Plagiarism or submitting work that is not one’s own
Maladministration refers to unintentional negligence or administrative errors by the academy, including but not limited to:
- Calculation errors in marking
- Improper exam scheduling or communication
- Mishandling of student records or personal data
- Inadequate arrangements at examination centers
- Unfair invigilation practices
3. Scope of This Policy
This policy applies to all students, faculty members, administrative staff, and any third-party vendors associated with International Prosafety Academy’s academic processes. It covers all academic activities including examinations, assignments, practical assessments, and certification processes.
4. Reporting Mechanism
If you become aware of any suspected malpractice or maladministration, you are encouraged to report it immediately. We provide safe and confidential reporting channels to protect informers from victimization.
How to Report:
- Submit a written complaint via email to info@prosafetyacademy.com
- Submit a written complaint in person at the academy reception
- Anonymous reporting is accepted, but we encourage disclosure of identity for effective investigation
5. Investigation Process
Upon receiving a complaint, the following investigation process is initiated:
- An independent investigating committee is formed with no close relation to any involved party.
- The alleged party is given an opportunity to present their side of the story.
- All relevant documents, evidence, and witness statements are collected and reviewed.
- CCTV footage (if available) may be reviewed.
- The committee submits a detailed report with findings and recommendations to the Academy Management.
The investigation is normally completed within fifteen working days.
6. Possible Penalties and Actions
Depending on the severity of the offence, the following actions may be taken:
Minor Offences (e.g., first-time minor cheating):
- Written warning
- Cancellation of the particular exam
- Opportunity for reassessment
Serious Offences (e.g., impersonation, paper leaks, fake documents):
- Permanent cancellation of results
- Expulsion from the academy
- Legal action if required by law
Staff-related Offences:
- Disciplinary action
- Termination of employment
- Legal action if applicable
7. Right to Appeal
Any student or staff member found guilty has the right to present their defense during the investigation. If dissatisfied with the decision, they may appeal to the Academy Director within seven working days. The Director’s decision is final and binding.
8. Confidentiality and Record Keeping
All complaints and investigation records are kept strictly confidential. Records are securely maintained for a minimum of five years for audit purposes.

This policy is reviewed annually and updated as necessary to align with regulatory changes and industry best practices.
