1. Introduction

At International Prosafety Academy, we recognize that every student has unique learning needs and capabilities. Some students may require additional support due to physical disabilities, learning difficulties, mental health conditions, or long-term medical issues. This Reasonable Adjustments Policy ensures that such students receive the necessary support to participate fully in their training and assessments without any disadvantage.

2. Scope of This Policy

This policy applies to all current and prospective students of International Prosafety Academy. It covers students affected by:

  • Physical disabilities (e.g., mobility issues)
  • Sensory impairments (e.g., hearing or vision loss)
  • Specific learning difficulties (e.g., dyslexia, dyscalculia)
  • Mental health conditions (e.g., anxiety, depression)
  • Temporary medical conditions (e.g., injury or surgery recovery)

3. What Are Reasonable Adjustments?

Reasonable adjustments are specific changes made to teaching methods, assessment processes, physical environments, or administrative procedures to ensure that students with disabilities or special needs are not placed at a disadvantage.

Examples of Reasonable Adjustments Include:

  • Additional time during assessments
  • A reader or scribe for exams
  • Study material in accessible formats (large print, audio, or digital)
  • Flexible attendance for medical reasons
  • Separate examination room for students with focus issues
  • Assistive technology (e.g., screen reading software)

4. How to Request Adjustments

Students who require reasonable adjustments must submit a formal request well in advance – ideally at the time of admission or at least two to three weeks before the assessment.

Request Process:

  • Complete the Reasonable Adjustments Request Form (available at the reception or via email)
  • Attach relevant medical certificates, psychological assessment reports, or specialist recommendations
  • Submit the form to the Quality Assurance Department

All documentation is treated as strictly confidential.

5. Assessment and Approval Process

Upon receiving a request, an internal committee (comprising the Course Coordinator, QA Head, and Management Representative) reviews the application. The committee:

  • Assesses the medical documentation
  • Reviews the course requirements
  • Determines which adjustments are reasonable and practical

In some cases, the committee may schedule a direct conversation with the student to better understand their needs. The student receives written confirmation of approved adjustments within seven to ten working days.

6. Confidentiality and Data Protection

Medical information, disability status, and adjustment details are strictly confidential. Access is limited to authorized staff members who need this information to arrange support. Information is not shared with third parties or other students without explicit written consent, except when required by law.

7. Rejection and Right to Appeal

In some cases, a request may be partially or fully rejected if:

  • The requested adjustment is excessively expensive
  • It is impractical due to the academy’s limitations
  • It would compromise academic standards (e.g., mandatory physical participation in safety drills)

If a request is rejected, the student will receive written communication explaining the reasons. The student may appeal to the Academy Director, whose decision is final and binding.

8. Policy Review

This policy is reviewed annually and updated to align with new laws, regulations, and industry best practices.
